Role objective: Deliver the assigned function with clear accountability, auditable records and timely escalation of risks.
Job Summary: Maintains drawing registers, revisions, RFIs, NCRs, inspection requests, material submittals, laboratory and survey records, correspondence, photographic records, CAD/GIS updates, asbuilt drawings and handover documentation.
Key Responsibilities:
- Maintain the controlled master register for drawings, specifications, RFIs, submittals, NCRs, inspection requests and correspondence.
- Ensure superseded drawings are withdrawn and current approved revisions are available at work fronts.
- Maintain electronic and hard-copy filing with consistent document numbering and revision status.
- Compile survey, laboratory and photographic records by chainage/structure.
- Update CAD/GIS information and assist preparation of as-built drawings from verified survey data.
- Track due dates for RFIs, submittals, approvals and corrective actions.
- Compile weekly/monthly report appendices and dashboards.
- Maintain backup copies of critical project records and support handover dossier preparation.
Minimum qualifications: Diploma/Degree in CAD, GIS, Engineering or related field; minimum 3 years’ experience.
Key deliverables: Controlled drawing register; document registers; updated CAD/GIS files; as-built documentation; handover dossier; RFI/submittal/NCR registers.
Indicative performance indicators:
- Zero use of superseded drawings
- Document retrieval time
- Register completeness
- Timely as-built updates
Authority and escalation: The officer shall act within approved drawings, specifications, method statements, ITPs and delegated authority. Any safety-critical condition, major non-conformance, design conflict, material deviation, abnormal ground condition or issue with material cost/programme impact shall be escalated promptly through the defined project chain of command.
